The Opportunities module simplifies the management of your expanding list of sales opportunities, ensuring none are overlooked. This article provides a comprehensive guide to help you navigate and leverage the full potential of this new module in Selly, including essential basics and best practices.
Overview
The Opportunities module provides a user-friendly, drag-and-drop-style board that offers a comprehensive overview of your active sales opportunities at a glance.
The Opportunities module presents a visual representation of your sales pipeline with vertical columns, each representing a different stage. As you make progress with an opportunity, such as completing a test drive or scheduling an appointment, you can effortlessly drag the opportunity card to the corresponding stage column. Once a customer purchases a vehicle, a simple drag-and-drop action to the 'Sold' stage marks the completion of the sale. It’s as simple as that! To make the most of this feature, there are just a few key concepts you'll need to grasp.
Filtering the opportunities in view
For enhanced convenience in searching for opportunities, leverage the power of a Search Bar and Filters to streamline your view and display only the relevant opportunities you're looking for.
The Search Bar
The search bar allows you to search for opportunities linked to a particular Client, as well as opportunities tied to specific vehicles or vehicle criteria.
To search for a specific client's opportunities, type the client’s name, email address, or phone number into the search bar. Instantly, all opportunities associated with the Client will appear on the board, organized under their respective stages. This allows you to easily find and manage opportunities for a particular client.
The search bar also enables you to swiftly find opportunities associated with specific vehicles in your inventory, whether it's a particular vehicle on your lot or a specific make and model.
To do this, select “Vehicle” from the search dropdown, and type one of the following types of vehicle information:
-
The Stock number of a specific vehicle
-
The VIN of a specific vehicle
-
The Year, Make, or Model (or all three!) of vehicles you’re looking for
Filters
Using filters, you'll be able to refine the opportunities displayed on your screen. This feature allows you to concentrate on a more targeted set of opportunities that align with your specific objectives. You can leverage three filters to fine-tune your view:
-
Filter opportunities by the Assigned User
-
Filter opportunities by their Date Created
-
Filter opportunities by their Date Updated
All three filters can be used at the same time, which allow you to easily find the opportunities you’re searching for.
Managing an Opportunity
Within the Opportunity module, you have complete control over every aspect of an opportunity. By clicking on an Opportunity card, you can access the Quick View, enabling seamless management of the opportunity.
From an opportunity's Quick View, you can do the following:
-
Move the opportunity to a different stage
-
Add or remove an Interested Vehicle
-
Add, modify, or remove a trade-in vehicle
-
Correspond via SMS with the Client if they have a valid SMS number
-
Change the User assigned to the opportunity (Manager only)
-
Write a note about the opportunity
Changing stages via drag-and-drop
Moving opportunities through your sales pipeline is easily accomplished using the Opportunities module. You’ll simply drag-and-drop an opportunity to the stage of your choice. When dragging an opportunity to the Sold stage, you’ll confirm essential details such as the purchase date, purchase price, and the salesperson responsible for the vehicle sale.
It’s important to remember that changing the stage of an opportunity may trigger SMS or Email automations either instantly or in a delayed manner (based on your work plan settings), so be mindful of that when changing stages. In order to prevent accidental or incorrect stage changes during a drag-and-drop action, we’ve built an “Undo” option that appears on the card. You’ll have 10 seconds to undo a stage change becomes it becomes permanent and possibly triggers the creation and sending of instant and delayed Emails or Text Messages.
Adding a new Opportunity
To begin working a new sales opportunity, create a new opportunity by clicking on the New button located in the upper right corner of the page.
You’ll search for the desired client by entering their name into the search bar, and then select the vehicle they are interested in, if applicable. You have the option to add a trade-in either during the initial form or later on by accessing the Quick View of the opportunity.
Managers are able to create opportunities for any client at the dealership, whereas salespeople are limited to creating opportunities exclusively for clients they are assigned to. Additionally, managers have the ability to modify the assignee for opportunities.
